Last updated: April 18, 2026
SquadBalance ("we," "our," or "us") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our team balancing service. Please read this policy carefully. If you do not agree with the terms of this privacy policy, please do not use our service.
1. Information We Collect
Account Information
When you create an account, we collect your name and email address. This information is used to manage your account, communicate with you, and provide our services.
Squad and Player Data
We collect the names of squads and players you create. This information is necessary to provide our team balancing functionality. Player names are only visible to squad administrators and other authorized users.
Anonymous Ratings
Our service allows players to submit anonymous peer ratings. The identity of the person submitting ratings is never linked to or stored with their ratings. We use hashed identifiers to prevent duplicate submissions while maintaining complete anonymity of the rater.
Attendance Data
When players respond to attendance polls, we collect their responses to facilitate team generation for available players.
2. How We Use Your Information
We use the information we collect to:
- Provide, maintain, and improve our team balancing service
- Generate balanced teams based on aggregated player ratings
- Manage your account and subscription
- Process payments through our payment provider
- Communicate with you about service updates and support
- Ensure the security and integrity of our service
3. Data Retention
Shareable Links
All shareable links (rating links, poll links, and team share links) automatically expire after 7 days. After expiration, these links become inaccessible.
Account Data
Your account data, including squads, players, and ratings, is retained as long as your account is active. You may delete your account at any time, which will permanently remove all associated data.
Payment Records
We retain transaction records as required by law and for accounting purposes. Detailed payment information is stored securely by our payment processor.
4. Anonymous Ratings Privacy
Maintaining the anonymity of peer ratings is fundamental to our service. We implement the following safeguards:
- No rater identification: We never store or link the identity of who submitted a rating to the rating itself
- Hashed identifiers: We use cryptographically hashed cookie identifiers to prevent duplicate submissions without storing any identifying information
- Aggregated display: Ratings are displayed only in aggregate form to squad administrators
- No reconstruction: It is technically impossible to determine who provided any specific rating
5. Cookies and Tracking
We use cookies for the following purposes:
- Essential cookies: Required for authentication, session management, and security features
- Rating submission cookies: Used to generate hashed identifiers that prevent duplicate rating submissions while maintaining anonymity
- Preference cookies: Remember your settings and preferences across sessions
We do not use cookies for advertising purposes or share cookie data with third-party advertisers.
6. Third-Party Services

We use Stripe to process subscription payments. When you upgrade to a paid plan, your payment information is collected and processed directly by Stripe. We do not store your full credit card numbers on our servers. Stripe's privacy policy governs how they handle your payment information. You can review their privacy policy at stripe.com/privacy.
